The Administrative Assistant-Capacity will provide administrative support to the Technical Resources Team on the Capacity Project. Essential functions include assisting with preparation and distribution of technical and marketing materials; identifying relevant cost factors and developing and tracking budgets; assisting in monitoring and tracking Capacity Project expenditures; assisting Capacity Project technical team staff with filing, copying, procurement and other duties; assisting with processing of technical team consultants; helping to organize meetings and conference calls and records minutes; organizing and maintaining files and shared drives; organizing and maintaining SharePoint technical team sites; responding to phone calls and messages, and providing other assistance for assigned staff. Minimum qualifications include three or more years proven administrative office assistant experience; proven ability to proofread and edit correspondence, reports and documents; demonstrated ability to track and monitor budgets; proven ability to work with all levels of office staff, to work in teams, and with different personalities; polished administrative skills, including organizational skills; exceptional command of the English language demonstrated by excellent written and verbal communication skills; excellent word processing skills and proficiency in Word, Excel, Power Point and Microsoft Office Suite required; ability to work independently; pleasant phone presence; attention to detail and accuracy.
