Executive Assistant-Finance

The Executive Assistant for Finance works closely with the CFO and the Financial Management Team to manage the work flow and administrative processes of the Administration and Finance area. Job responsibilities include managing the daily schedule of the CFO, facilitating travel arrangements for CFO and Finance Management team; managing the preparation for meetings and presentations; administering the follow-up from meetings with relevant people both within and outside the organization; coordinating the completion of various strategic initiatives for both the CFO and Finance Management Team; organizing and maintaining files, work flow processes and document flow within the Administration and Finance areas; managing the annual financial calendar for IntraHealth departments, undertaking research for materials for legal or policy issues; coordinating Finance personnel actions including goal setting, training and periodic performance reviews; assisting in the design and documentation of processes and procedures involving the Finance, Human Resources and Contracts functions; managing the maintenance of Finance policies and procedures, assuring that documents conform to standards and the proper distribution of updates; completing administrative assignments from CFO including drafting letters, memos and e-mails.
Minimum qualifications include a 4 year degree in Finance or Administrative Services and one year of relevant work experience or five or more years proven performance in a role supporting a senior executive or other similar senior administrative position; proven experience working with financial concepts and issues, preferably from working in a financial environment; demonstrated ability to frequently exercise advanced levels of judgment, tact, confidentiality and diplomacy; exceptional organizational skills with demonstrated experience maintaining order in a fluid and vibrant environment; proven ability to write and edit correspondence, reports and documents; proven ability to work with all levels of staff, to work in teams, and with different personalities; exceptional command of the English language demonstrated by excellent written and verbal communication skills; advanced skills in Microsoft Word, Excel, and Outlook; the ability to take rapid and accurate notes and/or dictation is preferable but not required.
